GriefCynergy Privacy Policy

Effective date: October 16, 2026

GriefCynergy provides professional education for adults who support grieving and traumatized children. This policy explains what personal information we collect, how we use it, who helps us handle it, and the choices you have.

1. Who we are

GriefCynergy is a d/b/a of Cynthia L. White LLC, a business based in Hawaii, United States. GriefCynergy is led by its co-founders, Cynthia L. White and Hiro Ito. We are responsible for the personal information described in this policy.

This policy covers griefcynergy.com, our registration and contact forms, our webinars and programs, and the emails we send.

2. Information you give us

When you register for a webinar or contact us, we collect what you enter, which may include:

  • your first and last name and email address;
  • your preferred language and your country or region;
  • your organization and professional role, if you choose to share them;
  • how you learned about us;
  • a question you send us before a webinar;
  • whether you agreed to receive marketing emails from us;
  • a mobile or other phone number, if a form asks for one and you provide it.

If you pay for a program, your payment is handled by our payment processor, Stripe. We receive confirmation of your payment, but we do not receive or store your full card number.

Please do not send us information about children or clients. Our forms are not the place for names, identifying details, or confidential information about any child, family, client, student, or other person. If you include such information anyway, we will use it only to answer you, and we may delete it.

3. Information collected automatically

Our website and forms run on a platform provided by HighLevel. When you visit a page or submit a form, the platform automatically records technical information, which may include:

  • your IP address;
  • your browser type and time zone;
  • the pages you visited, the page you came from, and details of your session;
  • identifiers used for analytics or attribution (for example, a Google Analytics client ID or a Facebook event ID).

We have not added any third-party analytics or advertising code to our website, and we have not connected our account to Google Analytics or Facebook advertising tools.

4. Cookies

The platform uses cookies and similar technologies so that pages and forms work properly. For example, a cookie may remember details you entered so a form can fill them in next time. You can block or delete cookies in your browser settings. Some features may not work properly if you do.

5. How we use your information

We use your information to:

  • register you and run the webinar or program you signed up for;
  • send you emails about that registration, such as your confirmation, reminders, and access links. You receive these whether or not you agreed to marketing emails;
  • send you news about our educational resources, webinars, and programs if you agreed by ticking the consent box, or if you gave us your contact details at one of our workshops or trainings, on a business card, or through one of our earlier mailing lists. You can unsubscribe at any time using the link in any marketing email;
  • read and respond to your questions and requests;
  • keep a record of your consent and of our messages with you;
  • understand how people find us and improve our programs;
  • keep our services secure and meet our legal obligations.

Text messages. If you give us your mobile number and agree to receive text messages, we may send you text messages about our webinars and programs. Message and data rates may apply. You can stop them at any time by replying STOP or by following the instructions in the message. We do not share your mobile number or your text-message consent with anyone for their own marketing.

Webinar recordings. We record our webinars and may make the recordings available for replay. We do not record question-and-answer segments. At the start of each webinar, we tell participants which parts are recorded. If your name, image, voice, or a chat message appears during a recorded part, it may be included in the recording.

We do not sell or rent your personal information, and we do not share it with others for their own marketing.

6. Who helps us handle your information

We use trusted service providers who process information on our behalf and under our instructions:

  • HighLevel, which provides our website, forms, contact records, email system, and text messaging. We use HighLevel through its reseller, Katalyst CRM. HighLevel uses its own service providers, including Google Cloud and Amazon Web Services, to host data. Its current list is published at gohighlevel.com/sub-processors.
  • Mailgun, which delivers our emails.
  • Google Workspace, which we use for email and for hosting webinars on Google Meet.
  • Stripe, which processes payments for paid programs.

We may also disclose information if the law requires it, to protect the rights and safety of others, or as part of a sale or reorganization of our business, in which case this policy would continue to apply.

7. Where your information is stored

Your information is stored and processed in the United States. If you live outside the United States, including in Japan, your information is transferred to the United States. The United States does not have a single, comprehensive national privacy law equivalent to Japan's Act on the Protection of Personal Information; protection varies by state and by sector. Our main platform provider, HighLevel, processes data under its published data processing terms (gohighlevel.com/data-processing-agreement).

8. How long we keep your information

We keep your information for as long as we need it for the purposes in this policy, for example while you remain registered or on our mailing list, and as long as we need to keep records of your consent. When we no longer need it, we delete it or remove the details that identify you. When we delete a contact record, our platform provider may keep a recoverable copy for up to 60 days before it is permanently removed.

9. Your choices and rights

You may ask us to:

  • tell you what personal information we hold about you and how we use it;
  • correct information that is wrong;
  • delete your information, or stop using it;
  • stop sending you marketing emails or text messages (you can also use the unsubscribe link in any marketing email, or reply STOP to any text message).

To make a request, email [email protected]. We may need to confirm your identity before acting on it. We aim to reply within a few business days and to complete requests within 30 days.

10. Security

We use reasonable measures to protect your information, and we limit access to the people and providers who need it. No method of storing or sending information online is completely secure, so we cannot guarantee absolute security.

11. Children

Our services are for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new effective date. If we make an important change, we will also let you know by email or on our website.
